The purpose of Project Tracker is to provide a central point of communication between any parties relevant to a specific contract or collection of contracts. It enables all authorised parties to access electronic files for viewing or downloading and is available 24hrs 365 days a year. 

Should you choose, third parties might also have the ability to add content or provide feedback - although this will be via a filter process.

QS Project Tracker can provide you with remote visibility on the current status of all your contracts in addition to any history, main contacts, timescales/roadmaps or useful information, relevant to a specific project.

It enables you to provide secure third party access to a chosen audience whilst allowing total control on what any authorised ‘third party’ may view. This means that you could enable your customers to view project files. Employees to view ‘discreet’ notes and sub contractor details. Sub-contractors access to instructions T&Cs, purchase orders, etc.

Setting up Project Tracker to suit the way you work

The easiest way to set up project tracker is on the QSIT server. As this is already online, it means that you do not have to purchase any hardware or require integration between your internal network systems and the online server. Our online server has daily off site back ups providing high levels of redundancy plus a 99.9% uptime guarantee.

The project folder structure is flexible and easy to administrate and can be set to the following options:

1) automated - so that when a new project is started the complete structure is automatically created on the fly

2) manual - so that the folders are created when and as required by the administrator

3) a combination of 1 & 2 above 

Each folder can have its own access rights allowing either ‘all user groups’ viewing rights or just the groups specified by the administrator.

Copying files to Project Tracker is quick and easy.

Once you have determined your folder or ‘filing structure’ for Project Tracker copying files couldn’t be more simple. All you need to do is ‘drag and drop’ the electronic files into the relevant folder by clicking an icon on your desktop.

As each folder has its own access rights only the user groups allocated may view the contents of any of the folders they are allowed to see. If the user group does not have the access to view a folder then that folder will not appear within the menu structure when they log on to the system.

Setting Project timescales and benchmarks

The Project Tracker also has a Gantt Graph function, which enables you to set up key milestones and actions, all of which are displayed in an interactive graph. This charts any project actions listed against current timelines, flagging up any actions required and displaying the current status at a glance.

Email alerts on impending actions

Within the Gantt function the administrator can set alerts, which email instructions on actions to be carried out or reminders if actions haven’t been logged on the system.

Free hosting for the first 12 months

The first year’s hosting is free but following the initial free 12 months the Project Tracker requires our Platinum Hosting package which costs £600 p.a. However should you already have your hosting with Quiet Storm then this may be consolidated to incorporate both your website and Project Tracker within a single hosting agreement maximising the benefits available. 

Unlimited user license all in with the price

The Administrator may allocate as many individuals or groups to the system as they require determining the access rights and availability of the resources available. Unlimited user license provides excellent value and the only ongoing cost once the system is up and running is the annual hosting.

The price of this system starts at £3000 VAT and includes all consultation, set up of the standard folder structure to your specific requirements, security, and administration tools to manage content, user groups and individual access to the system.
